As our group continues to grow internationally, we are looking for an HR Operations & Payroll Coordinator to ensure a smooth, compliant and efficient employee experience across our different entities.
You will be a trusted partner for employees, managers, payroll providers and external stakeholders, ensuring that all HR administrative processes are executed with rigor, professionalism and care.
YOUR MISSION
HR Operations : SUPPORT & COORDINATE
· Manage employee administration throughout the employee lifecycle
· Prepare and maintain employment contracts, amendments and HR documentation
· Manage employee files and HR records
· Handle leave, absences and administrative employee requests
· Ensure HR data quality and compliance
· Coordinate HR administrative processes across multiple entities
· Support HR reporting and audits when required
Onboarding & Offboarding : CREATE A GREAT EMPLOYEE EXPERIENCE
· Coordinate onboarding activities for new hires
· Prepare welcome packs and administrative documentation
· Coordinate equipment, accesses and integration activities
· Ensure a structured offboarding process
· Manage administrative follow-up linked to departures
· Coordinate return of company equipment and access rights
Payroll Coordination à ENSURE ACCURACY & COMPLIANCE
· Coordinate the monthly payroll process for the different entities of the group
· Collect, validate and consolidate payroll inputs
· Liaise with external payroll providers and fiduciaries
· Ensure payroll deadlines are respected
· Review payroll outputs and resolve discrepancies
· Support compensation and benefits administration
· Maintain payroll-related documentation and procedures
· Contribute to payroll process improvements and harmonization across entities
Fleet Administration : COORDINATE & FACILITATE
· Act as the internal coordinator between employees and external fleet management providers
· Support company vehicle onboarding and offboarding processes as part of the employee lifecycle
· Maintain relevant administrative records and employee fleet information
· Facilitate the resolution of administrative requests by connecting employees with the appropriate fleet management contacts
WHO ARE WE LOOKING FOR?
· Masters’ degree or equivalent experience
· 3 years’ experience in HR administration and payroll coordination
· Knowledge of Luxembourg HR administration practices
· Experience working with payroll providers or fiduciaries
· Strong organizational and administrative skills
· High level of discretion and confidentiality
· Detail-oriented with the ability to manage multiple priorities
· Comfortable working with figures and administrative data
· Proactive, reliable and service-oriented
· Fluent in French and English, Luxembourgish and/or German are strong assets
· Experience with HRIS, ERP or payroll tools is a plus
