As our group continues to grow, we are looking for an enthusiastic and proactive Office Manager to become a key player in the daily life of our Luxembourg office and support critical business operations across the group.

This role sits at the crossroads of people, operations and business administration.

You will be the person everyone turns to when things need to be organized, coordinated, improved or simply made to happen.


WHAT WILL YOU DO?

Office Management : ORGANIZE & FACILITATE

You are responsible for creating an efficient, professional and welcoming work environment.

Your responsibilities

  • Ensure the smooth day-to-day running of the Luxembourg office
  • Coordinate suppliers, facilities and external service providers
  • Manage office logistics, equipment and supplies
  • Organize internal meetings, team events and company activities
  • Welcome visitors and contribute to a positive workplace experience
  • Support managers and teams with various operational and administrative needs
  • Continuously improve office processes and ways of working

 

Client Billing Coordination : ENSURE ACCURACY & RELIABILITY

You will play a key role in managing the invoicing process for the entire Resultance Group.

Your responsibilities

  • Coordinate and oversee client invoicing activities
  • Collect and validate billing information with consultants and project leaders
  • Prepare and issue invoices in line with contractual agreements
  • Ensure billing deadlines are met
  • Follow up on purchase orders and client administrative requirements
  • Maintain accurate billing data within our systems
  • Collaborate closely with Finance and Leadership teams
  • Contribute to the continuous improvement of invoicing and administrative processes


WHO ARE WE LOOKING FOR?

You might be our next colleague if…

  • You have a Bachelor’s degree (or equivalent experience)
  • You already have experience in office management, administration, customer billing or business support
  • You are highly organized and detail-oriented
  • You enjoy creating structure and bringing order to complexity
  • You are comfortable working with figures and administrative processes
  • You are proactive and naturally take ownership
  • You know how to manage multiple priorities simultaneously
  • You combine autonomy with a strong team spirit
  • You are discreet and trustworthy with confidential information
  • You communicate fluently in French, English, Luxembourgish and/or German are strong assets
  • You are comfortable with digital tools and Microsoft Office Suite
  • Experience with Odoo ERP is a plus
